Short answer
A useful RFQ identifies the company, garment application, fabric specification, target quantity, color and sample need. Add the destination, schedule and any required test method so the supplier can confirm current availability and commercial details.
01
1. Explain the uniform project
Start with the company, target market and garment application. A request for hospital scrubs, clinic uniforms or general workwear can lead to different fabric shortlists even when the preferred composition looks similar.
- Company and buyer role
- Target country or region
- Garment type and intended use
- Development, sample or bulk-order stage
02
2. Define the fabric specification
Use an exact product ID when one of the published fabrics is relevant. For an open development request, state the acceptable ranges instead of forcing a product match that has not been confirmed.
- Product ID or reference sample
- Composition and construction
- Target GSM or acceptable range
- Width and stretch direction
- Color, hand-feel or appearance reference
03
3. State the sample and testing requirement
Specify whether you need an A4 swatch, color card, sample yardage or a garment trial. If testing is part of approval, name the required standard, method and acceptance value.
A company certificate or a report for another style does not automatically prove that a selected fabric meets a product-specific requirement. Ask which document applies to the exact fabric and order.
04
4. Add quantity, destination and timing
MOQ, sample availability, lead time and current colors are confirmed for each inquiry. Give enough commercial context for a useful response without sending confidential customer lists, contracts or patient information.
- Estimated sample and bulk quantity
- Delivery country or port
- Required sample date and target production timing
- Packaging, labeling or documentation needs
- Preferred contact method and business email
05
5. Use a concise first message
Example: We are developing healthcare uniforms for [market]. We are interested in [product ID or specification] for [garment type]. Please confirm current colors, sample options, MOQ and lead time for approximately [quantity]. We also require [test method or document, if applicable]. Delivery destination: [country or port].
This format gives the supplier enough context to qualify the request while leaving room to confirm product-specific details before quotation or sampling.
Scope note
Do not submit patient information, confidential medical records, customer contracts or payment details through the website form. Use the first exchange to identify the correct product and documentation path.
